Intro: Organize your Library

You can share all of your EndNote Library or a specific group with others. This page explains how you can do so.

EndNote 20.1 will allow you to share with up to 200 other EndNote Online users. 

EndNote 20 and previous versions of EndNote, including X9 and X8, have a library sharing feature that allows you to share it with up to 100 other EndNote Online users.

There are two sharing permissions:

  • Read-only, so the people you share it with can only view your references
  • Read and write - to collaborate with others to build your EndNote Library.

How to share your Library

 

Quick Steps: Select All References or a Groupset > Go to Menu Bar: File > Share > Enter email addresses tied to EndNote Online account > Set permissions > Invite.

Step-by-Step:

  1. Select All References or the groupset you want to share.
  1. Select File > Share... from the Menu Bar. A dialog box should pop up.
  1. Under "Invite More People," enter email addresses separated by a comma. It needs to be the email address they use to log into their EndNote Online account. 
  1. Select the desired Permissions: Read & Write or Read Only.
  1. Select Invite. The person/people you shared your Library with should receive an invite to their email.  

     

FAQs about groups

Q. Can I add a reference to more than one group?

A. Yes. You are adding a 'ghost copy' of the reference to your Group from your 'All References' list.

Q. If I delete a reference from one of my groups, will it be deleted from the Library altogether?

A. No. You are deleting a 'ghost copy' of the reference, so it will only be removed from the Group, not your 'All References' list (the All References List is what you see when you first open your EndNote Library).

Q. If I delete a reference from my 'All References List', will it be deleted from my group/s?

A. Yes. This is because you are deleting the reference from the 'All References' list.
