EndNote 20 for Mac

About this page

The EndNote tab is a toolbar that should automatically be installed into Word and PowerPoint programs after you install EndNote. It is also known as Cite While You Write (CWYW) and you might see that name in the official EndNote Help documentation. How it works:

Once you insert an in-text citation using CWYW, a full reference for that citation will be automatically generated at the end of your document or presentation. This page explains how to use the EndNote tab (CWYW) in MS Word.

Ensure the EndNote tab is showing in MS Word

Check to see if the EndNote tab (plug-in) displays in MS Word:

  1. Open the EndNote Library you want to insert your references from.
  1. Open your document in Word and ensure you can see the EndNote 20 tab open on the Word ribbon. It should be at the end of the Word functions unless you have another plug-in.
    • You can switch between the two programs using the taskbar in Word (Alt + 1) OR
    • In Word select the "Go to EndNote" button (in the first block of the ribbon.)

If the EndNote 20 tab does not appear, or it did appear once and it has disappeared:

  • Follow the instructions on the link at the bottom of this box to troubleshoot.
  • If this fails, or you find the instructions to complex to follow, you could try uninstalling EndNote and reinstalling EndNote again. We have found this does the trick for some people! If you do this, ensure you backup your EndNote Library first!

When you look at the EndNote 20 tab, you could say it is divided into three main blocks.

  1. First block - Citations This block has functions to do with inserting in-text citations and edit them. The most pertinent include:
    • Insert Citation: When you insert an in-text citation, the plug-in connects to your EndNote Library and inserts the selected citation(s) into your Word document. A reference entry is automatically generated at the end of your text.
    • Edit & Manage Citation(s): Make additions to your in-text citations, for example, add page numbers, paragraph numbers, etc. Also make edits to your citations, like change the order of how you want the authors in your in-text citation.
  1. Second block - Bibliography: This is where you manage your bibliography, including the reference style in which your in-text citations appear. The most pertinent include:
    • Style: You change the citation style with the click of a button. The drop-down of styles reflects what is in your shortlist of your EndNote Library.
    • Instant Formatting: On the other side of the short vertical line is "Instant Formatting". It typically defaults to "Instant Formatting is On". EndNote formats the in-text citation to how it should appear, i.e., Author (Year). If you turn it Off, you will see curly brackets - this is the EndNote code. When you click "Update Citations and Bibliography" button it will convert it to how it should appear.
    • Convert Citations and Bibliography: With this function you can convert your document to plain text, i.e., strip it off the EndNote code. This is helpful for when you need to make final changes to your document that you are unable to do with the "Edit & Manage Citation(s)" function. Only convert to plain text once you have finished entering all the citations you want and you have saved a copy of the Word document with your EndNote code.
    • Configure Bibliography: Select the corner arrow on the bottom right-hand corner to format your bibliography so that it adheres to your desired citation style's conventions.
  1. Third block - Tools: These are additional tools. You don't need these features to insert and edit citations in MS Word. The tools on this tab include Export to EndNote function; Manuscript Matcher; Preferences, and a Help function.

Set up your reference style to use in Word

Before you insert in-text citations, you want to set the output style (reference style) you want them to appear in Word. To do this:

  1. In the Bibliography block (second block), select the drop-down next to Style:
  2. Choose your desired reference style, e.g., APA 7th Updated.

The list that populates here is the same in your shortlist of output styles in your EndNote Library. If you wish to use a different style, choose "Select Another Style..."
